Workflows in Flovoo

Workflows automatically assign new contacts to your team members in rotation. Click Workflows in the sidebar, then Create Workflow, select the channels and assignees in order, and click Save. You can also select an AI agent to answer first before handing the chat to your team.

Workflows assign new contacts to your team members automatically, so you don’t have to assign each contact manually.

You choose the channels and team members, and each new contact that arrives from those channels is assigned to the next member in the list, in rotation.

How do workflows work?

When a new contact is created on the selected channels, it is assigned sequentially to the next teammate in the list. For example, if you select Sara, then Ali, then Yousef: the first contact goes to Sara, the second to Ali, the third to Yousef, and the fourth to Sara again.

Workflows apply to new contacts only and don’t change the assignee of existing contacts.

Create a workflow

To create a workflow:

  1. Click Workflows in the sidebar.
  2. Click Create Workflow.
  3. From Channels, select one or more channels.
  4. From Assignees, select members in the order you want contacts distributed.
  5. Click Save.

The workflow is saved as Active and starts working right away, with an automatic name such as Workflow 1.

AI agent first

In the Assignees list, you can also select an AI agent. New chats then go to the agent first, and the members you selected are the hand-off rotation when the agent hands the chat to your team.

Turn a workflow off or on

Use the toggle next to the status in the workflow row. When you turn it off, its status changes to Inactive and new contacts aren’t assigned automatically until you turn it back on.

Edit a workflow

Click the pencil icon in the Actions column to open Edit Workflow. Change the channels, the members, or their order, then click Save.

What’s in the workflows list?

  • Workflow: the name and number of assignees.
  • Channels: the channels it runs on.
  • Assignees: member avatars, and AI first if you selected an agent.
  • Status: Active or Inactive, with the toggle.

Do workflows apply to existing contacts?
No, they apply only to new contacts that arrive from the selected channels.
Why can’t I find a channel in the channels list?
Only connected channels appear. If a channel is used in another workflow, you can’t add it to a new one.
Why is the Save button unavailable?
Select at least one channel, and an AI agent or at least one team member.
Can I delete a workflow?
Deleting workflows isn’t available right now, but you can turn a workflow off with the toggle.
