Contact Fields
Contact Fields in Flovoo help you organize and manage the information you collect about your customers. You can use the fields available in the system or create custom fields that fit your business needs, then use this information in Contact Details and when filtering contacts.
What are Contact Fields?
Contact Fields are the information associated with each contact in Flovoo.
These include fields that are available by default in the system, such as:
- Name
- Phone
- Assignee
- Tags
- Stage
- Status
- Contact Source
- Created At
- Last Updated
- Last Interaction
They can also include campaign and contact-source information, as well as custom fields that you create to store additional information based on your needs.
You can manage Contact Fields from:
Settings → Contacts → Contact Fields
Custom Fields
If the information you need is not available among Flovoo's existing fields, you can create a custom field to store it.
For example, you can create fields such as:
- Membership Type
- Specialization
- City
- Website URL
Custom fields are created from the Contact Fields page and can be managed by authorized workspace Owners and Admins.
Creating a Custom Field
To create a custom field:
- Open Settings.
- Go to Contacts → Contact Fields.
- Select the option to add a custom field.
- Choose the field type.
- Enter the field name.
- Add an optional description.
- If the field is a Single Select or Multi Select field, add its options.
- Save the field.
Available Field Types
You can create custom fields using one of the following types:
- Text: For entering text information.
- Single Select: For selecting one value from a predefined list of options.
- Multi Select: For selecting multiple values from a predefined list of options.
- URL: For storing a URL.
The field type cannot be changed after the field is created.
Field Name and Field Key
When you enter the field name, Flovoo automatically generates a Field Key in a suitable format. The Field Key cannot be edited after the field is created.
The field name and Field Key must be unique.
The Field Key can also be copied and used as a variable token when personalizing messages.
Using Contact Fields
After creating a field, you can use it to store information for each contact.
Editable fields appear in the Contact Fields card within Contact Details. You can update their values directly without opening a separate form.
Click the field value to edit it, then save the change by clicking outside the field or pressing Enter.
Some fields have different behavior
Some fields keep their own behavior within Contact Details:
- Stage: Appears as a colored dropdown and saves the change immediately.
- Assignee: Can be changed from the assignee dropdown and saves the change immediately.
- Status: Appears as a status and cannot be changed from this card.
- Phone: The country code and phone number can be edited together and saved as one change.
Other information, such as Contact Source, Created At, Last Updated, and Last Interaction, is read-only and cannot be edited from this card.
Customizing Visible Fields
Owners and Admins can customize which fields appear in the Contact Fields card and arrange them based on the team's needs.
From the Contact Fields card, an Owner or Admin can open Customize View and:
- Reorder fields.
- Hide fields that the team does not need to see regularly.
- Add other fields to the view.
Changes are applied immediately and do not require a separate save step.
Who can customize the view?
- Owner and Admin: Can customize and reorder visible fields.
- Manager and Agent: Can use the Contact Fields card as configured, but do not see the Customize View option.
Viewing All Fields
The Contact Fields card displays a limited number of fields to keep contact information easy to scan.
If there are additional fields enabled in the view, select See all fields to access the remaining information.

Using Contact Fields to Filter Contacts
You can use Contact Fields as filters to quickly find a specific group of contacts.
Every active Contact Field, whether standard or custom, automatically becomes available as a filter without additional setup.
For example, you can filter contacts by:
- A value in a Text field.
- A specific option in a Single Select field.
- Multiple options in a Multi Select field.
- A stored URL.
You can also select multiple values within the same filter or combine different filters to create more specific results.
How do the filters work?
When you select multiple values within the same filter, they are treated as OR conditions.
When you use different filters together, they are treated as AND conditions.
For example, if you select Premium OR Free in a Membership Type field, contacts matching either value are shown. If you then add another filter, such as a Tag, a contact must match both filters.
Managing Custom Fields
You can manage the lifecycle of custom fields from the Contact Fields page.
Active Fields
An active field is available for use in Flovoo.
It can be:
- Visible: Shown in the Contact Fields card.
- Hidden: Still available in the system and filters, but not shown in the compact card.
When you create a new custom field, it starts as Active and Hidden. You can add it to the visible view through Customize View.
Archiving a Custom Field
If a field contains data that you no longer want to use, you can archive it instead of deleting it.
When you archive a field:
- It is removed from the active fields.
- It is no longer shown in Contact Details.
- It is removed from filters.
- Its existing data is preserved.
- You can restore it later.
Restoring an Archived Field
You can access archived fields by selecting Archived Fields next to the search field.
When you restore a field, it returns as Active and Hidden. Its existing data is preserved, and the field becomes available again in Customize View and Contacts List filters.
Deleting a Custom Field
A custom field can only be permanently deleted when there is no data associated with it.
Deletion is permanent and cannot be undone. The field is also removed from field settings, Customize View, and filters.
Field Value Validation
Flovoo validates values entered into custom fields to help ensure that the saved information is valid.
- URL: Must contain a valid URL.
- Text: Has a maximum character limit.
- Single Select and Multi Select: Only accept predefined options.
These validation rules apply when values are entered or edited, as well as when values are imported.
Contact Fields on Mobile
Contact Fields are also available within conversation details on mobile, allowing you to view and edit editable field values in a way that is consistent with the web experience.

What is the difference between standard and custom fields?
What types of custom fields can I create?
You can create Text, Single Select, Multi Select, and URL fields.
Can I change a field type after creating it?
No. A field type cannot be changed after the field is created.
Can I hide a field without deleting it?
Yes. You can remove a field from the visible view so that it remains active and hidden while still being available for filtering.
Are hidden fields available in filters?
Yes. Whether a field is visible in Contact Details does not affect its availability as a filter.
Can I edit a field value from Contact Details?
Yes. Editable fields can be updated directly from Contact Details.
