Managing Contact Stages

Contact Stages in Flovoo help you organize contacts based on their current status in your workflow. You can create, edit, reorder, and set a default stage, while organizing stages under In Progress Stages or Lost Stages. You can also change a contact’s stage from multiple places and use stages to filter and manage contacts in List View and Kanban Board.

Contact Stages help you organize contacts according to their current stage and easily track their progress across different parts of Flovoo.

You can create, edit, reorder, set a default stage, and manage stages directly from the Contact Stages page in Settings. The current stage of each contact also appears on the Contacts page and in the Conversations list, giving your team a clear view of each contact’s status.

Accessing Contact Stages

To manage Contact Stages:

  1. Go to Settings.
  2. Select Contacts.
  3. Open Contact Stages.

Types of Contact Stages

The Contact Stages page is divided into two sections:

In Progress Stages

Used to organize and track contacts through the different stages of their journey.

Lost Stages

Used to organize contacts that did not move to the next stage or whose journey was not completed.

You can add new stages to either section.

Add a New Stage

You can create a custom stage that fits your team’s workflow.

  1. Open the Contact Stages page from Settings.
  2. Click Add Stage in the desired section.
  3. Enter the stage name.
  4. Choose the color.
  5. Save the stage.

The stage is added directly to the stage list without needing to open a separate window.

Edit a Stage

You can edit the stage name or color directly from the Contact Stages page.

Click directly on the stage color to open the color picker, then choose the color you want.

Double-click the stage name, then enter the new name.

After making your changes, click Save Changes.

Set a Stage as Default

You can set one stage as the default stage for new contacts.

To set a stage as default:

  1. Open the options menu next to the stage.
  2. Select Set as Default.

The default stage is automatically applied to new contacts when no other stage is selected.

Reorder Stages

You can change the order of stages using drag and drop.

The stage order you set on the Settings page affects the order of the stage columns in Kanban Board.

Delete a Stage

You can delete any stage from the three-dot menu next to it.

When you select Delete Stage, a window appears asking you to choose another stage to transfer the contacts to before deleting the stage.

  1. Open the three-dot menu next to the stage.
  2. Select Delete Stage.
  3. Choose the stage where you want to transfer the contacts.
  4. Confirm the deletion.

Change a Contact’s Stage

You can change a contact’s stage from the Contacts page, Kanban Board, or contact details. Any change to the stage is reflected in the other places where the stage appears.

In Kanban Board, you can move a contact from one stage to another using drag and drop.

Filter Contacts by Stage

You can use the stage filter to find contacts in one or more stages, either from the Contacts page or the Conversations page.

Where Do Contact Stages Appear?

The current stage of a contact appears in more than one place within Flovoo, including:

  • Contacts page, within the contact information.
  • Conversations list, next to the contact information.

You can use the stage as a quick way to understand a contact’s status while working on it.

Frequently Asked Questions

Can I create stages under Lost Stages?
Yes. You can create multiple stages under Lost Stages, and any stage created there is automatically treated as a Lost stage.
Can I move a contact from a Lost Stage to an In Progress Stage?
Yes. You can move a contact between In Progress and Lost Stages whenever their status changes.
Are Won and Lost separate types of stages?

No. Won and Lost are indicators associated with stages. The two stage groups are In Progress Stages and Lost Stages.

Can I set a stage as the default?

Yes. You can use Set as Default from the stage options menu. Only one stage can be the Default at a time.

What happens when I delete a stage that contains contacts?

Flovoo asks you to choose where the contacts in that stage should be transferred before the stage is deleted.

Can I move contacts between stages from the Kanban Board?

Yes. You can drag and drop a contact from one stage to another directly from the Kanban Board.

Can I filter contacts by Contact Stage?

Yes. You can use the Contact Stage filter on the Contacts page to display contacts in a specific stage.
