The Members page in Flovoo helps you add your team to the workspace, and control what each member can see and do.
You can invite members by email, choose each member's role, edit their details, set when they receive new chats, and remove them when they no longer need access.
The Members Page
Go to Settings → Members. The page shows all workspace members, with the email, role, and status of each member.
Invite a New Member
To invite a new member:
- Click Invite Member.
- Enter the member's email in the Email field.
- Choose their role from the Role list. The default role is Agent.
- To invite several members at once, click Invite more members.
- Click Send invites.
The member receives an email with the invite link, and appears on the Members page with the Invite Sent status until they accept.
Invitation Statuses
- Invite Sent: The invitation was sent, and the member has not accepted it yet.
- Invitation Expired: The member did not accept the invitation within 7 days.
- Accepting chats: The member accepted the invitation and joined the workspace.
To send the invitation again, click Resend Invitation under the member's status. If the invitation has expired, a new invitation is sent and the status returns to Invite Sent.
Roles and Permissions
Each member has one role that sets what they can access:
- Owner: The workspace owner, with all permissions. This role cannot be chosen when inviting.
- Admin: Full workspace access.
- Manager: Team-level access.
- Agent: Personal access only.
Change a Member's Role
- Click the ⋯ menu next to the member, then select Edit.
- From the Role & Permissions section, choose the new role.
- Click Save changes.
Owners and Admins can change other members' roles. Managers and Agents only see their own profile and cannot change their roles.
Edit Member Details
From the ⋯ menu, then Edit, you can edit:
- Details: Username, email, job title, and chat limit.
- Channel Access: The channels whose chats the member can access.
- Assign to teams: The teams the member belongs to.
To learn more, see Managing Channel Access Permissions.
Availability
Availability sets whether the member receives new chats through automatic assignment. From the Agent status after logging in section in the member's profile, choose:
- Accept chats: The member receives new chats. This is the default status.
- Don't accept chats: The member does not receive new chats, such as during meetings or breaks.
- According to working hours: The member receives chats only during the working hours you set.
When you choose According to working hours, click Manage working hours to set the working hours. You can add more than one period in the same day.
A member who does not receive new chats can still log in to Flovoo and follow their current chats.
Remove a Member
To remove a member from the workspace:
- Click the ⋯ menu next to the member.
- Select Remove.
- Confirm the removal.
When you remove the member:
- Contacts assigned to them become unassigned.
- They are removed from all teams.
- Their invite link stops working if they have not accepted it yet.
- Chats and their history stay as they are.
