What are Contact Stages?
Contact Stages let you classify each contact based on where they are in your workflow — like New Lead, Interested, or Customer. Stages appear in the conversations list and on the Contacts page, giving your team instant context at a glance.
Setting up your stages
Before you start, create your stages from the settings page.
Go to Settings → Contacts → Contact Stages
Click + Add Stage
- Enter a name and choose a color
Click Save
To manage an existing stage, click the ⋯ next to its name to access the following options:
- Set as Default — this stage will be automatically applied to new contacts
- Delete Stage — permanently removes the stage
Note: The platform includes a dedicated Lost Stages section to track contacts that didn't complete their journey with you.
Assigning a stage to a contact
Go to the Contacts page
- Find the contact you want to update
- Click on the Stage column next to their name
Select the appropriate stage from the dropdown
Assigning a stage in bulk
Need to update multiple contacts or conversations at once?
- Go to the Contacts or Conversations page
- Select the contacts or conversations you want to update
Choose Change Stage from the bulk actions menu
- Select the stage and confirm
Where do stages appear?
Conversations list — the stage appears as a small badge below the contact's name, giving your team instant context during live conversations
- Contacts page — stages appear in a dedicated column so you can review and update all your contacts' stages in one place
Filtering by stage
Filter your contacts or conversations by stage to focus on what matters most.
- On the Contacts page: use the filter option and select the stage you want to view
- On the Conversations page: use the filter option and select the desired stage
Tips for best use
- Use a different color for each stage to make them easy to distinguish visually
- Set a default stage that fits most of your new contacts to save time
- Keep stage names short and clear so they display neatly in the conversations list
- Use bulk edit to update multiple contacts at once instead of changing them one by one
